We have a great opportunity for an experienced and motivated Reception Supervisor to join our Boardrooms team on a 12 month fixed term contract. This role is based in our London office helping to cover shifts on a rota basis between 7.30am to 8pm Monday to Thursday and 7.30am to 6pm on Fridays.
The Role
Manage, motivate, and lead the London reception team to ensure excellent customer service aligned with the firm's strategic priorities. Key responsibilities include:
Supervisor Responsibilities:
- Oversee efficient reception, boardroom, and switchboard services, including rota and holiday management.
- Line manage London Boardroom Receptionists to ensure excellent client service and promotion of OC brand values.
- Address complaints, resolve equipment/furniture issues, and report ongoing problems to the line manager.
- Assist in recruiting Boardroom Receptionist staff.
- Coordinate with the line manager for regular team training, as well as train new and temporary staff.
- Ensure a coordinated approach across UK offices for client service, reviewing practices and liaising with peers and the line manager for continuous improvement.
- Lead event coordination and manage reception duties during large events.
- Provide monthly management reports with key statistics on reception and boardroom facilities and visitor experience.
- Communicate with the wider office regarding local reception, boardroom, and telephony services.
- Understand the firm's strategy to identify service improvements and address off-strategy activities.
General Responsibilities:
- Work shifts on reception, boardrooms, and switchboard, including welcoming visitors, booking taxis, recording visitor information, managing room bookings, setting up rooms, ensuring visitor access to core services, checking client areas and equipment, and managing incoming calls.
- Assist in delivering firm events held in the office.
- Manage personal training and development, identifying suitable opportunities.
- Perform any other duties or project work to ensure efficient reception, boardrooms, and switchboard services.
