Our Business Support Team have an exciting role for an experienced In-seat Legal Secretary to join them in our brand new Bristol office on a permanent basis.
Whilst the role is based in our office, we offer hybrid working with some home working included.
About the team
Our Business Support Team are based in Bristol, London and Reading, consisting of Document Specialists, Legal Secretaries and Administrative and Document Service Assistants who provide cover across all three locations, dealing with a variety of different tasks to meet the business needs.
The role
- Working as a Legal Secretary you will provide effective high level secretarial support to Fee Earners across the business. More specifically you will:
- Provide effective high level administrative and secretarial support
- Provide diary management assistance, organising meetings and travel
- Develop and maintain exemplary positive internal and external client relationships
- Demonstrate excellent IT skills, with the ability to amend and format large and complex documents where necessary and / or create PowerPoint documents
- Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information
- Monitor and assist with management of Fee Earner mailboxes
- Respond to telephone calls and emails in a timely and professional manner
- Where required, play an active role in assisting with the billing process working closely with our accounts team
Supporting the team and the wider Business Support Team with:
- General administration tasks (eg; photocopying, printing, filing and scanning)
- Audio typing, copy typing and transcribing
- Document amendments
- Demonstrate a high level of customer service at all times
- Quality check work to ensure it is to a high standard and accurate
- Involvement with firm-wide projects as requested
- Works with the BSMA to continuously develop effective ways of working within the team
What we're looking for
- Experience of working in a secretarial or PA support role
- Can work under pressure and to tight deadlines
- Ability to work on your own initiative
- Excellent written and verbal communication skills
- Essential to work with confidentiality, discretion and diplomacy
- Ability to pay close attention to detail
- Excellent IT skills (Microsoft word, Excel, Outlook)
- Capable of taking initiative and developing solutions
- Fast, accurate typing ability
- Good time management
