We have an opportunity for a full-time administrative assistant to join our Real Estate team, based in our Bristol office. This role provides administrative support to the Plots conveyancing team, which services some of the UK's leading house builders. The role is an integral part of the conveyancing output of the Plots team and is a great opportunity for an organised individual with excellent attention to detail.
Our administrative team play a key role in the new homes sale process from start to finish, and this is a great opportunity to learn new skills and develop your career, in a fast paced and interesting sector.
You will work closely with our conveyancers providing administrative support to ensure our new home sale transactions are completed smoothly.
Administrative experience is essential, and we welcome applicants from all backgrounds and experiences who have the key skills detailed below.
Key Skills:
- Excellent IT skills (Microsoft Excel, Word, Outlook, Teams) with the ability to learn new systems quickly
- High attention to detail with the ability to spot errors when working with both text and figures
- Highly organised and able to prioritise work to meet deadlines
- Excellent written and verbal communication skills
- Ability to work under pressure in a fast paced environment
- Excellent team player with the flexibility to work on a wide range of tasks supporting the wider Plots team
- Proactive approach to workload, with the ability to work with minimum supervision
Key role responsibilities:
- Provide full administrative support to the Plots team including producing and processing all contract paperwork, completion paperwork and processing invoices and billing for the service
- Dealing with enquiries from our clients, buyers' solicitors and colleagues, ensuring effective and accurate transfer of information and high levels of client service
- Supporting on Part Exchange administration including requesting searches, pre exchange requirements and billing
- Maintaining matter documentation in both hard copy and electronic files, amending and formatting documentation as necessary, and ensuring information is correct
- Contributing to and actioning group inbox workstreams, organising your workload to ensure deadlines are met and all tasks are completed
- Support the Reservations Team in processing new home sale reservations received from developer clients, receiving workflow and instructions from our admin team leader
- Ensuring that new home sale reservation forms are processed correctly and efficiently through our case management system, and within strict KPI deadlines
- Creating and sending initial letters, sale contracts and accompanying documentation
The Team
You will be a part of the Plots team, which sits within Real Estate and works closely with other areas of the business. The team is based both in Bristol and Reading and consists of 18 conveyancers and 8 administrative assistants. Our clients are some of the UK's leading housebuilders including Barratt Redrow, Bloor and Vistry.
We have a hybrid working pattern but the nature of this role requires mainly office based working.
