We have a great opportunity for an Administrative Assistant to support our Real Estate department on a 12 month fixed term contract. The role is based on-site in our central Bristol office 9am to 5pm, Monday to Friday.
The Team
This position is within our central Business Support Team however you will be aligned to the Real Estate department. The Real Estate support team is made up of PAs and Legal Secretaries and the position reports into the Real Estate Senior PA.
What you'll do
The main purpose of this role is to provide high level administrative support to the PA and legal teams and other areas of the business when requested including but not limited to:
- Managing deeds including checking deeds, typing schedules, assisting with deed audits, requesting, returning and posting deeds out. Liaising with key clients to keep deed records up to date
- Scanning, photocopying, printing and binding
- Preparation of letters and special delivery and courier forms
- Saving and distributing scanned post
- Assisting with all aspects of billing
- Running WIP Manager reports
- Updating and maintaining data rooms both internal and client based
- Using the Land Registry website & the Avail Platform to order searches and copy documents
- Using Search Acumen to request property searches
- Dealing with telephone enquiries
- Assist PA team with monthly billing
- LFS (Large File Sends)
- File closures
We are looking for the following skills and experience:
- Previous office based administrative experience
- Excellent attention to detail
- Ability to work well under pressure
- Good IT skills using Microsoft Word, Excel and Outlook
- Excellent written and verbal communication skills
- Excellent organisation skills
- A proactive and collaborative approach
