We have a great opportunity for a PA to join our Company Secretarial team. The main purpose of this role is to provide highly professional effective and proactive PA support to a number of busy fee earners in the company secretarial team, including our head of company secretarial and company secretarial managers.
This is a 12 month fixed term position, based out of our Bristol office and some home working too. Core hours will be Monday-Friday, 09:00-17:00.
Key Responsibilities
- Liaise with Clients in relation to their Accounts reminders
- Assist with diary management and all diary commitments for the team, pre-empting any diary conflicts; attend team meetings.
- Post forwarding for registered office clients
- Proactively take responsibility for travel arrangements, conference bookings and meeting room bookings in advance
- Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information
- Play an active role in managing and taking responsibility for the annual and monthly company secretarial billing process, working closely with our finance team
- Manage company secretarial client e-billing processes
- Develop and maintain exemplary positive internal and external client and PA relationships
- Monitor and assist with management of Fee Earner mailboxes
- Load new Company Incorporations onto Diligent Entities and prepare statutory books
- Assist with the preparation of Board Minutes and Share Certificates and support with the day to day management of client information
- Work closely with colleagues to ensure all admin is dealt with in a timely manner including:-
- Filing, post admin, drafting correspondence and communications
- Assisting with CDD requirements, closing / arranging off-site storage of files
- Work with the Senior PA to continuously develop effective ways of working within the team
- To provide ad hoc support for the PA team (covering for other PA absences)
- Proactively identify opportunities, actively contribute and be involved with ad-hoc projects as given by the team (and across OC)
We are looking for an experienced PA with the following key skills:
- Essential to have good organisational skills, be flexible and able to prioritise work
- Essential to have excellent written and verbal communication skills
- Ability to work under pressure and to tight deadlines
- Capable of taking initiative and developing solutions
- Ability to pay close attention to detail
- Essential to work with confidentiality, discretion and diplomacy
- Excellent IT skills (Microsoft Word, Excel, Outlook, Teams)
